O’Hara Search Group is proud to partner with Bantrel Co. to support the hiring of a Contract Specialist / Administrator to join their team in Bethune, Saskatchewan. We work closely with organizations across engineering, construction, and infrastructure sectors on the delivery of critical hiring needs. This role sits within a major potash expansion project and will play an important role in supporting subcontract administration, commercial coordination, and contract execution at site.


The Role

  • The Contract Specialist / Administrator is responsible for maintaining an ongoing review of subcontract progress and providing management with information regarding any financial, legal, or technical issues that may affect execution. The role also includes preparing change orders and negotiating with subcontractors to support timely and effective commercial resolution.
  • Working closely with project teams, contractors, and client stakeholders, this position plays an important role in supporting contract administration throughout the project lifecycle. It is well suited to someone with strong commercial judgment, subcontract administration experience, and the ability to work effectively in an active site-based construction environment.


About the Project

  • Bantrel is working with K+S Potash Canada as part of an Integrated Project Management Team (IPMT) to expand production at the Bethune solution potash mine near Moose Jaw and Regina, Saskatchewan. The project is intended to double current potash production, with long-term capacity planned to reach 4 million tonnes per year. Key team members support the project from the K+S head office in Saskatoon and at the Bethune mine site, with additional support from Calgary, Edmonton, and Toronto as required.
  • Bantrel is also continuing to expand its long-term presence in Saskatchewan through its Saskatoon office, which supports mining, energy transition, and industrial projects across the province and Western Canada.


Location & Schedule

This is a site-based position located in Bethune, Saskatchewan, operating on a 9 days on / 5 days off rotation with 10-hour workdays. Living Out Allowance (LOA) or relocation assistance may be available based on eligibility, and the site is commute-friendly from Regina and Moose Jaw.


Key Responsibilities

  • Participate in subcontract administration activities and support the use of client systems where required.
  • Maintain ongoing visibility into subcontract progress and provide management with updates on financial, legal, or technical issues that may affect subcontract performance.
  • Obtain, review, and verify insurance certificates to ensure contract compliance.
  • Prepare commitment authorizations and change orders, as required, to support commercial administration and documentation.
  • Represent Bantrel and the client in contractual discussions with subcontractors.
  • Administer contracts to ensure mutual understanding of subcontract terms and conditions and support execution within delegated signing authority.
  • Prepare periodic status reports for management to provide visibility into subcontract performance and outstanding commercial matters.
  • Coordinate with designated staff on operational activities affecting contractual rights and obligations, subcontract performance, subcontract administration, and other major commercial matters.
  • Facilitate Contract Progress Review / Coordination Rolling Action Item List Meetings and follow up on action items as required.
  • Manage contractual correspondence by logging communications, maintaining files, assigning action items, and monitoring open contractual items through to resolution.
  • Review contractor invoices for accuracy and confirm pricing is aligned with contractual terms before payment processing.
  • Verify that contract requirements have been met before payments are issued, including proper deductions for retention, back-charges, or other offsets where applicable.
  • Route invoices to identified disciplines for approval and support submission to client accounting for payment.
  • Reconcile contractor accounts and obtain contractor releases of lien and final payment documentation.
  • Complete contract close-out activities, including contractor evaluations, and participate in operational and project reviews and audits as required.


Qualifications

Education & Experience

  • Candidates should have a minimum of 15 years of progressive experience, including at least 10 years supporting large, complex construction projects within mining, oil and gas, infrastructure, or heavy industrial environments. The ideal candidate will bring extensive experience in live construction environments and a strong understanding of subcontract administration, contractual obligations, and commercial risk within active project settings.

Technical Knowledge

  • The successful candidate will demonstrate senior-level expertise in commercial management, contract law, subcontract administration, negotiations, pricing strategies, claims avoidance, and risk management. They should also have strong experience working with subcontractors, suppliers, and vendors, along with a clear understanding of site execution, contractual risk exposure, and commercial governance.

  • The successful candidate will bring strong judgment, integrity, and emotional intelligence, along with the ability to navigate complex and high-pressure commercial situations effectively. They will also demonstrate the ability to collaborate with multidisciplinary teams across Project Management, Engineering, Construction, Project Controls, Finance, and Accounting, while maintaining strong working relationships with clients, delivery partners, and other key stakeholders.
  • Highly developed communication and presentation skills are essential, as is the ability to manage competing priorities and complex deliverables while maintaining rigor, compliance, and schedule commitments. A team-oriented approach that supports mentorship, knowledge transfer, and capability development across project teams will also be important in this role.
